  • Finance & Administration Director Job Description

    ESSENTIAL FUNCTIONS:

    Primary duties involve accounting (payroll, accounts payable and receivable), contract management, and managing a central financial and organizational record system. The Finance & Administration Director works with the objectives of: a) meeting financial reporting and auditing requirements, b) providing administration, HR, and operations support, and c) maintaining central file organization systems for Bureau records (financial, employee, and organizational). This position should plan and perform duties with minimal supervision.

    Duties & Responsibilities

    FINANCE

    • Develop and maintain financial record keeping and reporting systems. 
    • Develop and implement financially and administratively related procedures that are efficient and scalable for the workflow of the organization.
    • Manage all aspects of the accounting process, including assignment and oversight of duties to support staff.
    • Ensure an accurate and timely month-end and year-end close.
    • Prepare monthly financial reports for the President & CEO and Board of Directors. 
    • Work closely with the President & CEO to prepare and manage annual budgets, appropriations, as well as maintain ongoing forecasts for Bureau and its related foundation. 
    • Provide enhanced financial forecasting and budget managing for leadership staff.
    • Work with CPA firm on tax forms, including federal and state tax returns and an annual audit. 
    • Ensure all other state and federal tax returns are submitted in a timely fashion, including monthly sales tax returns.
    • Organize and track all contracts with vendors doing business with the Bureau.
    • Manage the recording and proper use of HOT tax collections, including the filing of all appropriate documentation.
    • Manage payroll system with online system.
    • Generate 1099s and W2s.
    • Manage accounts payable and receivable.
    • Maintain petty cash system and cash handling procedures.
    • Review and update policies for investments, financial process, and travel and client development.

          ADMINISTRATION

    • Manage the onboarding process for new employees and termination process for exiting employees.
    • Administer compensation and benefits, such as health plans, HSA contributions, 401k contributions, workers compensation, and paid time off, such as vacation and sick leave.
    • Compile employee information for annual audits, such as 401K contributions and workers' compensation.
    • Educate employees about internal personnel procedures, such as hiring, onboarding, promotions, demotions, transfers, terminations, and/or layoffs as necessary. 
    • Work with third-party partners to manage health benefits and retirement programs. 
    • Support and facilitate employee performance review documents as needed.
    • Provide training to new and existing staff as needed, specifically on HR-related topics.
    • Create and maintain human resource records. 
    • Assist with personnel issues relating to staff conflicts, absenteeism, performance issues, etc.
    • Assist with IT functions for the office.
    • Support President on internal matters including compensation and benefit changes, employee paid time off and sick leave, health plan changes, 401K plans, bank reconciliations, and more as directed.
    • Attend all staff meetings.
    • Perform other duties as assigned.

    QUALIFICATIONS:

    • Bachelor’s Degree in a related field such as Accounting or Business with 3-5 years of accounting experience.
    • Previous knowledge of not-for-profit financial management and tax policies preferred.
    • Highly organized, strong attention to detail, problem-solver, possess leadership skills.
    • Strong written and verbal communication skills.
    • Proficient in QuickBooks Online, Microsoft Office, especially Microsoft Excel, Word and Outlook, and Bill.com.

  • Job Description

    Supports the Welcome Center operations, fulfilling visitor inquiries and providing support for the Tourism Bureau/Chamber Staff and the various tourism projects ongoing at the Center.  The Welcome Center Assistant works with the objectives of a) Serving visitor inquiries in the region; b) maintaining the welcome center operations (cleanliness; organization); and c) supporting special project needs for hospitality partners and/or staff.
